Article I. Name
The official name of this organization shall be The Association of College and Research Libraries Student Chapter at the University of Illinois at Urbana-Champaign; or, ACRL@UIUC.
Article II. Organization of the Division
Section 1.
A. This organization is an official Student Chapter of the Association for College & Research Libraries (ACRL) national organization. Just as the national ACRL organization is a division of the national American Library Association (ALA), ACRL@UIUC is a division of ALA@UIUC.
B. The Division will be treated similarly to an ALA@UIUC committee. The Division Chair is responsible for acting as the liaison to the ALA Student Chapter Board, and will be invited to ALA Board Meetings.
C. The Division shall be organized under a board of directors with overlapping terms and with authority to make decisions between conferences of meetings of the Division.
D. Finances for the Division will be coordinated with the ALA Student Chapter Treasurer; all funds will be held by the ALA Student Chapter.
E. Publicity shall be managed by the ALA Student Chapter Publicity Officer(s).
F. The Division shall have a faculty advisor. The faculty advisor shall be responsible for coordination of the first meeting of the year, orientation of membership to the Association of College and Research Libraries, and the election of officers.
Section 2.
A. The Division may hold meetings, conduct Board elections, establish and appoint committees, retain a distinctive name, issue publications, carry on activities along the lines of its interests, and engage in other activities outlined in the bylaws.
Article III. Executive Board and Officers
Section 1. The Chair shall be the chief executive officer (President) of the Division and, subject to the Executive Board, shall:
A. have general supervision and control over its affairs;
B. preside at all meetings of the Division and of its Executive Board;
C. personally communicate Division activities to the ALA Student Chapter Board (acting as the liaison), preparing any reports or attending ALA Executive Board meetings as necessary.
Section 2. The vice president shall:
A. assume the duties of president in the latter’s absence, and assume the office of the president should it become vacated during the stated term of office;
B. assist the president with duties of the executive office.
Section 3. The secretary shall:
A. keep a record of all meetings of the Division and of the Executive Board;
B. maintain an organized account of division records both electronically and in print, to be passed on to the next Executive Board.
Section 4. The treasurer shall:
A. manage financial matters and requests for money in coordination with the ALA Student Chapter Treasurer;
B. keep separate records of Chapter funds used by ACRL@UIUC; transactions shall be initiated by both Chapter and Division Treasurers.
Section 5. The information officer shall:
A. be responsible for advertising Division meetings and events to Division members;
B. communicate Division meetings and events with the ALA Student Chapter publicity officers for further promotion throughout the Chapter and the school;
C. maintain control of the Division website, making changes and adding information as appropriate or as directed by the Board.
Article IV. Elections and terms of office
A. Candidates are self-nominated.
B. Elections are to take place during the Fall term after the start of ALA Student Chapter activities. Following the nomination process, the membership of the Division will vote for one candidate per office. Votes will be tallied by the faculty advisor.
C. The candidate receiving the most votes will hold the office for one year, i.e. until the next election cycle.
D. Vacancies in offices other than President that occur during the normal term of office shall be filled by appointment of the Executive Board.
Article V. Purposes and aims
A. To acquaint members with the goals and objectives of the Association of College & Research Libraries and the local student chapter;
B. To encourage professional contacts within the field of academic librarianship both at the University of Illinois and elsewhere;
C. To provide an avenue for communication between members and the Association of College & Research Libraries;
D. To provide the members of ACRL@UIUC with official representation to the Association of College & Research Libraries and elsewhere; and
E. To actively promote involvement in professional activities beyond the classroom.
Article VI. Membership Requirements
A. The Division will accept as members all members of ALA Student Chapter who elect membership. Members, in addition to membership in ALA, must also be members of ACRL.
B. Only personal members of ACRL@UIUC shall have the right to vote and to hold office.
Article VII. Establishment of Committees
A. ACRL@UIUC may establish such committees as may be required to discharge properly the responsibilities assigned to it. The Division will appoint and dissolve committees on an as needed basis.
B. Committees established by the Division must be approved by ALA Chapter Board.
C. The Division may affiliate with itself regional, state, or local groups interested in the same field of library service or librarianship.
Article VIII. Amendment of Bylaws
A. The bylaws are to be amended as needed by the Division membership and with the approval of the ALA Chapter Board.
Article IX. Dissolution of the Division
A. The ALA Board must present a statement of Dissolution of Division to the ACRL@UIUC membership one month before voting begins; Dissolution of Division statement must demonstrate evidence that Division has ceased being a useful addition to the ALA Student Chapter.
